Billing
Billing lives on Settings → Workspace, below your plan details. Like the rest of the tab it needs the users: edit permission. What you see depends on where your workspace stands:
- Set up billing: your workspace is on a paid plan (or trialing one) and has no active subscription yet.
- Manage billing: you have an active subscription.
- Neither button: billing for your workspace is handled directly by ZenPrint. Nothing to do here.
Setting up billing
Click Set up billing and you are redirected to a secure Stripe checkout page. Stripe collects:
- Your billing email. This can differ from your workspace contact email, so use your invoicing address (for example
invoicing@yourcompany.com) if you have one. Invoices go there. - A payment method: credit card, or SEPA direct debit for EUR billing.
- Your billing address.
- Your VAT number, if you have one. Tick “I’m purchasing as a business” in the address section and enter it so it appears on your invoices. VAT is applied automatically based on your address and VAT number: Belgian businesses are charged 21%, and businesses elsewhere in the EU with a valid VAT number are reverse-charged (no VAT added).
Nothing is charged at checkout. You are billed monthly, and the first invoice arrives after your first full or partial month ends. Once you finish checkout, your workspace switches to the paid plan within a couple of minutes and the button changes to Manage billing.
Your plan itself is assigned by ZenPrint; checkout does not change which plan you are on, only how it is paid.
How the monthly amount is calculated
You are billed on your peak number of managed printers in each calendar month. If you manage 40 printers all month and briefly onboard 5 more, that month bills for 45. The count is the same “managed printers” meter shown on the Workspace tab: printers with a queue assigned. Discovered, dismissed, and decommissioned devices never count.
Billing periods align to calendar months. If you set up billing mid-month, that partial month is invoiced at the month’s end, then every following invoice covers the 1st through the last day of the month.
Managing your subscription
Manage billing opens the Stripe customer portal, where you can:
- Update your card or SEPA mandate.
- View and download past invoices.
- Cancel your subscription.
If you cancel, your workspace moves to the Free plan. Nothing is deleted and existing printers keep working, but you cannot bring new printers under management while you are over the Free allowance.
If a payment fails, Stripe retries automatically. Make sure your payment method is current in the portal to avoid interruption.
